FOR OFFSITES & INCENTIVE TRAVEL

Track guest movement across every checkpoint.

From airport pickup to the return coach, TapEvent gives each guest one reusable NFC tag and your team one checkpoint history.

Remote-first pilot · your existing spreadsheet · compatible Android phones

The operating gap

The guest list is ready. The movement is not.

One spreadsheet becomes six separate checklists as soon as the group starts moving. TapEvent keeps each checkpoint connected to the same guest identity.

IMPORT

Load the guest list

Start with the spreadsheet your team already maintains. Add late joins and changes before the event.

ASSIGN

Match each tag

Connect a reusable NFC tag to the right guest before the group starts moving.

CHECK IN

Record each movement

Staff tap on compatible Android phones at transport, venue, meal or activity checkpoints.

REVIEW

Review the recorded trail

Follow live counts, inspect one guest's checkpoint history and export reports to Excel.

What works today

Built for field conditions you can actually plan for.

[NFC]

Android, in the browser

The current NFC field flow runs in Chrome on compatible Android phones. Staff do not install a dedicated app.

[~]

Short network interruptions

Check-ins queue on the field device during a short interruption and sync after the connection returns.

[⌕]

Manual lookup when needed

If a tag cannot be tapped, authorised staff can search for the guest by name or mobile.

[!]

Duplicate alerts

A repeated tap at the same checkpoint is flagged so the field team can see it and decide what to do.

[↻]

Hardware you can reuse

Assign the tags to a fresh guest list for the next client event instead of treating them as disposable.

[↓]

History you can export

Review participant journeys and checkpoint activity, then download the records as Excel reports.

Pilot fit

A good pilot has movement worth measuring.

Worth a conversation

  • A controlled guest list and a real event within 90 days.
  • Several checkpoints, vehicles, venues or event days.
  • About 100–300 guests for the first controlled pilot.
  • Compatible Android phones available to the field team.
  • A repeat operator who can reuse the hardware.

Not the current fit

  • Public ticket sales, payment collection or seat allocation.
  • On-demand badge printing or sponsor lead capture.
  • An iPhone-only field team or a required QR camera flow.
  • One entrance with no later guest movement to follow.
  • Mandatory on-ground support without a confirmed operating plan.

We shape the walkthrough around your guest list, movements and field team. The pilot scope and price are agreed only after the operating requirements are clear.

Questions before a pilot

Clear boundaries make better event plans.

Is TapEvent a registration or ticketing platform?

No. TapEvent starts with the controlled guest list you already have and records what happens at event checkpoints. It does not sell tickets or collect payments.

Can field staff use iPhones?

Not for the current NFC field flow. Staff need compatible Android phones running Chrome. Manual search by guest name or mobile is available when a tag cannot be tapped.

What happens when the network drops?

Check-ins made during short network interruptions queue on the field device and sync when the connection returns.

Can the NFC tags be reused?

Yes. The tags can be assigned to a fresh guest list for the next event.

Is on-ground support included?

The initial pilot is remote-first. Tell us if on-ground support is essential so feasibility can be discussed before anything is promised.

What guest information is stored on the tag?

No guest details are stored on the tag. Authorised event staff see guest information through TapEvent.

Bring us the movement plan.

Tell us the event date, guest count, checkpoints, field phones and support needs. We will use that to decide whether a pilot makes operational sense.
